Built for cleaning companies

SMS and Email Reminders for Cleaning Jobs

Job reminders tell customers a cleaning is coming and tell cleaners where they are working, without anyone typing a text. CleanPilotPro sends scheduled reminders by SMS and email based on your company's notification settings, prefers each customer's mobile number, and collects replies in a shared inbox so the office sees them. You can also send a bulk message to a selected group of customers or crew when plans change.

What it is

Automated and manual messaging built into the schedule. Reminder sends run on a schedule against upcoming jobs; per-company toggles control which reminders go out at all. Numbers are normalised to E.164 before sending, so numbers stored in any local format still deliver.

  • Automatic upcoming-job reminders to customers and cleaners
  • Company-level toggles for each reminder type
  • Mobile-tagged numbers preferred over landlines
  • Phone numbers normalised automatically before sending

Why cleaning companies use it

A reminder the day before is the cheapest way to stop lockouts and last-minute cancellations, and it removes the daily job of texting tomorrow's list by hand. Cleaners getting their own reminder cuts down the 'where am I today?' calls.

Bulk messages and replies

When weather closes a route or a holiday shifts a schedule, select the affected customers or crew and send one message to all of them; large sends are dispatched in batches. Inbound replies land in a shared SMS inbox rather than one person's phone.

  • Multi-select bulk messaging to customers or crew
  • Shared inbox for inbound SMS replies
  • Failed-delivery visibility in settings
  • Your company name used as the sender display and message prefix

Consent and compliance

Texting requires explicit consent from the recipient, captured independently of any purchase or service agreement. CleanPilotPro records that consent alongside the customer so opt-in is auditable, and messages carry your business identity.

Example workflow: tomorrow's route

  1. 1Jobs for tomorrow are scheduled and assigned.
  2. 2The reminder job runs and texts each customer with a mobile number on file.
  3. 3Assigned cleaners receive their own reminder and push notification.
  4. 4A customer replies to reschedule; the message appears in the shared inbox.
  5. 5The office moves the job — the reschedule keeps the original date on record.

Who it is best for

  • Residential companies dealing with lockouts and no-shows
  • Owners texting tomorrow's schedule out by hand today
  • Teams that want replies visible to the whole office
  • Companies notifying customers about weather or holiday changes

Frequently asked questions

Does CleanPilotPro text customers automatically before a cleaning?

Yes. Reminders for upcoming jobs run on a schedule, and each reminder type can be switched on or off for your company in settings.

Will it text a landline?

No. When a customer has two numbers, the one tagged mobile or cell is used for SMS. The selected number is badged on the customer record.

Do cleaners get reminders too?

Yes. Assigned cleaners can receive job reminders as well as push notifications on their phones.

Can I message many customers at once?

Yes. Select the customers or crew members you need and send one bulk message; large sends are dispatched in batches.

Where do customer replies go?

Inbound texts arrive in a shared SMS inbox inside CleanPilotPro so any office user can see and act on them.

Do I need consent to text customers?

Yes. Explicit SMS consent is required and is captured separately from any purchase or service agreement, and it is recorded with the customer.
