Customer Management for Cleaning Companies

Customer management is where every property you clean lives: contact details, address, default price, payment method, and the full history of visits. CleanPilotPro stores two phone numbers per customer with a type on each, so text reminders go to the mobile number rather than a landline. You can import your existing customer list from CSV — up to 10,000 rows — and default pricing auto-fills every new job you create for that customer.

What it is

A cleaning-specific customer record. Alongside name and email, each customer carries granular address fields, a primary and secondary phone with types such as mobile or landline, residential or commercial classification, a default price, and a default pricing model.

  • Primary and secondary phone numbers, each with a type
  • Granular address fields for accurate job locations
  • Default price and pricing model that auto-fill new jobs
  • Residential and commercial customer types

Why cleaning companies use it

Most owners keep customers in a phone's contacts and prices in their head. That works until a manager needs to quote a repeat visit or a reminder text goes to a house phone. Centralising the record makes every job created from it correct by default.

Importing your existing list

Bring your list in from a spreadsheet with a mapping step. Separate first and last name columns are joined into the single name field, duplicates are matched case-insensitively, and large files are handled in batches.

  • CSV import for up to 10,000 rows
  • Column mapping with a downloadable sample file
  • First name and last name columns combined automatically
  • Case-insensitive duplicate detection

Service history and safeguards

Every customer shows their completed visits and the revenue from them, and any visit opens into full job details. Deleting a customer is blocked while they still have scheduled, confirmed, or in-progress jobs, so you cannot remove work that is still on the calendar.

  • Service history with revenue from completed jobs
  • Open any past visit for full job details
  • Deletion blocked while active jobs exist
  • Commercial customers default to invoice payment

Example workflow: moving off a spreadsheet

  1. 1Download the sample CSV and match your columns to it.
  2. 2Import the list; duplicates are flagged before anything is created.
  3. 3Tag mobile numbers so SMS reminders reach the right phone.
  4. 4Set each customer's default price and pricing model.
  5. 5Create jobs — pricing and payment method fill in automatically.

Who it is best for

  • Companies migrating from spreadsheets or phone contacts
  • Mixed residential and commercial books of business
  • Owners who want managers quoting consistent prices
  • Teams sending customer text reminders

Frequently asked questions

Can I import my existing cleaning customer list?

Yes. CSV import handles up to 10,000 rows with a column-mapping step and a downloadable sample file to match your export against.

My export has separate first and last name columns. Will that work?

Yes. If the single Name column is empty, first and last name columns are joined into the name field automatically. If Name is filled, it takes priority.

Can I store two phone numbers per customer?

Yes. Each customer supports a primary and a secondary number, and each number has a type so you can mark which one is mobile.

How does CleanPilotPro know which number to text?

Messages prefer the number tagged as mobile or cell, so landlines are not texted. The chosen SMS number is badged on the customer record.

Can I see everything we have cleaned for a customer?

Yes. Each customer has a service history of completed visits with revenue, and any visit opens into full job details.

Can I delete a customer with upcoming jobs?

No. Deletion is blocked while the customer has scheduled, confirmed, or in-progress jobs so active work is never orphaned.
