Cleaning Crew Management Software

Cleaning crew management software is where your people records live: who works for you, what they can see, when they are available, and what they are paid. CleanPilotPro handles invites and activation, role-based access for cleaners, technicians, managers, and admins, plus profile photos, internal notes, and private documents per crew member. You can add people one at a time or import a whole roster from CSV.

What it is

A team directory with permissions attached. Each member has a role that decides exactly what they see — cleaners get their own job portal, managers and admins get the office dashboard. Invited users receive credentials and are required to change their password the first time they sign in.

  • Roles: cleaner, technician, manager, and company admin
  • Invite by email or bulk-import a roster from CSV
  • Bulk activation with temporary passwords for a new crew
  • Forced password change on first sign-in

Why cleaning companies use it

Turnover is high in cleaning, so onboarding needs to take minutes, not an afternoon. Role-based access also means a cleaner never sees customer phone numbers, pricing, or other cleaners' pay — which matters as soon as you have more than a couple of employees.

Profiles, availability, and documents

Each crew member's profile holds contact details, working schedule, compensation, job history with pagination, pay history, and internal admin-only notes. Documents such as signed agreements stay private to office staff, while profile photos are used across the app.

  • Working schedule used for day-off warnings when assigning jobs
  • Paginated job history and pay history per cleaner
  • Admin-only internal notes that persist on the profile
  • Private document storage separate from public avatars

Common problems it solves

New hires waiting on setup, cleaners seeing information they should not, no record of who was told what, and onboarding a seasonal crew one form at a time.

  • Import and activate many cleaners in one pass
  • Login email changes handled safely inside your company
  • Accounts start inactive until an admin activates them
  • Internal notes give managers shared context on each person

Example workflow: onboarding four new cleaners

  1. 1Import the roster from CSV, mapping names, emails, and phones.
  2. 2Select the new members and run bulk activation.
  3. 3Each cleaner receives credentials and changes their password on first sign-in.
  4. 4Set each cleaner's working schedule and compensation on their profile.
  5. 5Assign them jobs — availability warnings apply immediately.

Who it is best for

  • Cleaning companies with regular hiring and turnover
  • Owners who want managers to run day-to-day without full admin rights
  • Teams tracking documents and notes per employee
  • Operations onboarding seasonal or overflow crews

Frequently asked questions

How do I add cleaners to CleanPilotPro?

Add them individually with an email invite, or import a roster from CSV. Accounts stay inactive until an admin activates them and sends credentials.

Can I activate several cleaners at once?

Yes. Select multiple team members and run bulk activation; each receives a temporary password and must change it on first sign-in.

What can a cleaner see?

Only their own assigned jobs, hours, and pay history, plus crew chat. Customer phone numbers and other cleaners' pay are excluded from cleaner views.

Can managers do everything an admin can?

Managers run day-to-day operations — jobs, customers, team, and reports — while company admins keep company-level settings and billing controls.

Can I store documents for each employee?

Yes. Documents uploaded to a crew member's profile are private to office staff, separate from the profile photo used in the app.

Does availability affect scheduling?

Yes. A cleaner's working schedule triggers a warning when you assign them outside it, and you can override the warning when necessary.
