Cleaning Checklists and Job Photos

Cleaning checklists define exactly what a cleaner must complete at a property, and job photos prove it was done. In CleanPilotPro you build reusable checklist templates once, apply them to any job, and cleaners tick items off in the mobile portal while uploading photos tied to that job. Photos remain accessible after completion, so a customer question next week can still be answered with evidence.

What it is

Two linked quality controls. A checklist template is a named list of tasks — 'Move-out deep clean', 'Weekly office' — that gets copied onto a job as its own checklist items. Job photos are uploaded against the job and stored in a bucket organised by job, so access follows the job's permissions.

  • Reusable templates with editable items
  • Applying a template copies items onto that specific job
  • Per-item completion by the cleaner during the visit
  • Photos attached to the job, compressed on upload

Why cleaning companies use it

Consistency is the product. A checklist means a new cleaner delivers the same scope as your best one, and photos end the 'they didn't clean the baseboards' conversation before it turns into a refund.

How it works during a visit

The cleaner opens the job, clocks in, and works through the checklist. Photos can be added as they go. When the job is marked complete the checklist is locked, but photo uploads are still allowed afterwards so a missed shot can be added later.

  • Checklist locked at completion for an accurate record
  • Photo uploads still permitted after completion
  • Completion summary shown when the job is closed out
  • Office staff review photos from the job details view

Common problems it solves

Scope drift between cleaners, disputes with no evidence, and training that lives only in one veteran's head.

  • Standard scope per service type across the whole crew
  • Visual proof for customer complaints and quality reviews
  • Faster onboarding — the checklist is the training

Example workflow: a move-out clean

  1. 1Create a 'Move-out deep clean' template with its full task list.
  2. 2Apply the template when scheduling the job.
  3. 3The cleaner clocks in and works the checklist item by item.
  4. 4They upload after photos of each room from their phone.
  5. 5The office reviews photos and the completion summary before invoicing the customer.

Who it is best for

  • Companies selling deep cleans and move-outs
  • Commercial accounts with agreed scopes of work
  • Owners handling frequent quality complaints
  • Teams training new cleaners quickly

Frequently asked questions

Can I reuse the same cleaning checklist on many jobs?

Yes. Checklist templates are created once and applied to any job; the items are copied onto that job so edits there do not affect the template.

Do cleaners complete checklists on their phones?

Yes. Assigned cleaners open the job in the mobile portal and mark each item complete as they work.

Can cleaners upload before-and-after photos?

Yes. Photos are uploaded against the job from the cleaner's phone and are compressed automatically before upload.

Can photos be added after a job is finished?

Yes. Photo uploads stay available after completion, although the checklist is locked once the job is marked complete.

Who can see job photos?

Access follows the job: office staff for their company, and the cleaners assigned to that job. Photos are stored per job rather than in one shared folder.

Can I have different checklists for residential and commercial work?

Yes. Create as many templates as you need and apply the right one per job.
