Maid Service Software Buyer's Guide: 12 Questions to Ask Before You Sign
The 12 questions every maid service owner should ask before buying management software — recurring routes, time tracking, payroll, customer reminders, contracts, and red flags to avoid.
TL;DR
Most maid service owners pick software on price and regret it within 90 days. The right questions surface the real costs: missing recurring logic, weak payroll, hidden SMS fees, and lock-in contracts. Use the checklist below before signing — and see our overview of maid service management software for what "purpose-built" actually looks like.
The 12 questions
1. Does it handle recurring routes natively?
Generic field-service tools treat every job as standalone. A maid service is 80% recurring. The system should generate weekly/bi-weekly/monthly instances, regenerate cleanly when a customer's schedule changes, and consolidate duplicate series.
2. Can cleaners clock in and out from their phone, per job?
One tap, clock-in and clock-out recorded per job, hours flow to payroll. Anything less and you're back to notebooks.
3. How does payroll actually work?
Does the system aggregate hours from completed jobs automatically? Can it split a cleaner's pay between cash and direct deposit? Does it handle piece-rate as well as hourly? If you have to export to a spreadsheet to run payroll, you don't have payroll software.
4. Are customer reminders included — and SMS-compliant?
Reminder SMS reduces no-shows by 30–40%. But SMS in the US requires explicit consent per recipient. Make sure the vendor handles consent capture, not you.
5. Is there a real mobile app for cleaners?
Not "the web version on a phone" — an actual house cleaning app for cleaners with push notifications and a stripped-down UI focused on today's work.
6. How is customer PII protected?
Multi-tenant SaaS that doesn't isolate tenants with row-level security is a breach waiting to happen. Ask the vendor directly.
7. Can I import my existing customer list?
CSV import with deduplication should be a 10-minute job, not a 2-week migration project.
8. What reports do I actually get?
Revenue from completed jobs (not booked jobs), cleaner productivity, customer retention, payment method mix. If the vendor demos "reports" that are just CSV exports, that's a no.
9. What's the contract length?
Month-to-month is the only acceptable answer for a maid service under 50 cleaners. Annual contracts protect the vendor, not you.
10. What does setup actually look like?
Days, not weeks. If you're being quoted "6-week onboarding," you're buying enterprise software you don't need.
11. What's NOT included?
Watch for: per-SMS fees, per-user fees that scale brutally, "premium" tiers for basic features like recurring jobs, and add-on charges for the mobile app.
12. Can I leave with my data?
Full CSV export of customers, jobs, and payroll history — on demand, without asking support. If the answer is anything else, walk away.
